Google from the Help Menu

Search with Excel, Word, PowerPoint

Where better to search the Internet for support on an Excel, PowerPoint, or Word problem than through the Help menu?

Would you like to add Google to that menu?

Ron de Bruin at has developed free add-ins that does just that.

"Google Search 6.0/7.0 places a new sub-menu item under the Help menu of whatever program you call it from. When that item is selected, up pops a user-friendly interface. This allows a largely intuitive completion and execution of a Google Search.

On clicking the Search button a lot goes on behind the scenes.
  • Your default (i.e. your usual) web browser is loaded and, without further instructions,
  • It's off to the Google Advanced Search Page.
  • It then fills in an Advanced Query to your specifications
  • Executes that query.
  • Once results are found (or not found) you are shown those results just as if you had carried out all of the steps of the process."

Flash shows, in general, are remarkably easy to create.

Rather than try to duplicate complex animation in PowerPoint, you can add a Shockwave Flash Object to your show.

Web Page on a Slide

All in one place

You can put a hyperlink on a slide. During the presentation, you can click on the link, invoke the browser and show the web site.

Rather than that, how about placing the web page itself on the slide?

Not a screen shot, but the actual, fully functional page. When you're through with the demonstration, one click takes you to the next slide.

"No coding required. LiveWeb works with documents off your local drive too. You can specify relative paths.

With LiveWeb you can display acrobat documents (PDF), java applets, VRML etc within the slide show real-time.

LiveWeb will create slides with web browser controls embedded on the slides"

(There is a small caveat; the add-in must be installed on the machine running the show. The PPA is only about 117K, so it's easy to carry and install as an add-in.)

How to create a "Live Notes" page in your presentation

"Frequently there is a need to capture information in a PowerPoint presentation. For example, when making a presentation before an audience, there might be a need to capture comments and questions as the presentation proceeds. You might also have a need to capture answers to a quiz or survey, or to record game responses.

You can download a small (12KB) presentation by clicking on that demonstrates the method. Unzip the file (notetaker.pps) and click on it to see it in Slide Show mode.

Please note that this method requires the use of an Active-X control and therefore only works when run from PowerPoint. It will not work in the Viewer."

It does work in 2007.

Shyam Pillai has provided a free wizard to imbed YouTube clips into a PowerPoint Presentation

"Use this to insert YouTube videos into a PowerPoint slide. All you need to do is to provide the YouTube video URL that appears in the browser address bar, the rest is taken care of by the YTV Wizard.

Note: YouTube videos are streamed so a live internet connection is required to playback the video during the slideshow. Use the free FlashBack add-in to play/rewind the YouTube video automatically."

Acrobat PowerPoint

Convert PP to Acrobat

First, be aware that this is not for everyone. You may not have a need to do this, and/or may not want to shell out more software money.
This requires Adobe Acrobat Pro, which runs about $449 retail.

How to Create Slide Shows and Self-running Kiosks in Acrobat

"First, make sure you're using the right Acrobat software. With Acrobat Standard, you can add sound to documents but you can't import video clips. To create documents containing both video and sound, you'll need to use Acrobat Professional, which contains all the tools necessary for integrating media in PDF documents.

Acrobat is not a presentation-authoring program, so you'll need to use an application like PowerPoint to create your presentation. Some people use page-layout software to create presentations, but for animated effects, PowerPoint is the easiest tool for adding motion to both text and objects.

Add your desired animation and motion effects in PowerPoint before exporting to PDF. The visuals you create in PowerPoint display in an Acrobat viewer after PDF creation as long as you follow a few rules."

Non Stop Show

Stop the breakout

If a PowerPoint show is running, it can be stopped by using the escape key. Here's a way to prevent that from happening.

A User can exit out of a show accidentally/intentionally by pressing the ESC key. This add-in disables the functionality of the ESC key.

Note: If the show is set to run in Kiosk mode, disabling the ESC key will provide no way of getting out of a slide show, hence please ensure that you have provided an escape route (e.g an invisible shape set to End show) to exit the show.

Scanner, No Insertions

2007 is lacking

You can still scan images into Microsoft Publisher and a few other programs, but not the big three.

"Yes, unfortunately, the Insert from Scanner and Camera feature was removed in Office 2007.
This was a difficult call, but I think for the best of the product overall. The feature supported a limited number of scanners and the camera support had not been updated for some time.
We came to the conclusion that most users would be better off using the software that came with their camera, scanner or even built into Windows, to get their images from their device, to the file system, and then use the Insert Picture command to get them into Office.
The downside, is that for some users, this feature did work and so will be missed."

"The From Scanner or Camera option for adding pictures to a presentation, photo album, or workbook is not available in Microsoft Office PowerPoint 2007 or Microsoft Office Excel 2007.

Instead, you can add pictures from your camera or scanner by downloading the pictures to your computer first, and then copying them from your computer into PowerPoint or Excel."

Open 2007 in 2003-2000

Not everyone is going to jump at once

How to open and to save Word 2007, Excel 2007, and PowerPoint 2007 files in earlier versions of Office
Microsoft Office Word, Microsoft Office Excel, and Microsoft Office PowerPoint versions 2000 through 2003 cannot natively open documents that are stored in the Office Open XML Formats in 2007 Microsoft Office programs.

You can install the Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats to open or to save 2007 Office files.

Microsoft Office XP and 2003
Word, Excel, and PowerPoint

After you install the Compatibility Pack, you can use your existing version of Word, Excel, and PowerPoint to open, edit, and save the file formats that are new to Word 2007, Excel 2007, or PowerPoint 2007. For example:
  • You can open Word, Excel, or PowerPoint 2007 files by double-clicking them exactly as you do with your existing Word, Excel, and PowerPoint presentation(s).
